How we translate Colombian civil records
The Registro Civil de Nacimiento is the civil registration of the birth itself, and it is the record Australian organisations usually mean when they ask for a Colombian birth certificate. It is not the same as the Certificado de Nacido Vivo, the live-birth certificate issued by the attending health facility, which records the birth as a medical event and is normally used to make the civil registration rather than to evidence it afterwards. Depending on where the birth was registered, copies of the civil registration may be issued by the Registraduría Nacional del Estado Civil, an authorised registry office or notaría, or a Colombian consulate for births registered abroad. A copy usually shows the serial number and indicativo serial, or a tomo and folio for older registrations, the NUIP, the registering office, the date and place of birth, the registrant's full name with both surnames, the parents' details, and any notas marginales. The Registraduría distinguishes registrations identified by tomo and folio from those identified by a serial number, and says tomo-and-folio records can only be consulted at the office where the birth was originally registered (registraduria.gov.co). So not every historic Colombian registration can simply be downloaded — check the identifiers on your own copy and follow the official page for current copy procedures, which change over time. What we do is translate the copy you supply; we do not issue, obtain, verify, replace, correct or apostille the underlying registration. Our NAATI-certified Spanish translators reproduce the Registraduría format — serial number, indicativo serial, tomo and folio, NUIP, notaría or registry office, parents' details and any notas marginales — and translate the apostille issued by the Ministerio de Relaciones Exteriores. Colombian double-surname naming is preserved exactly as registered. If a name or date on your document differs from your passport or other records, flag it with your order and check what supporting evidence the receiving organisation asks for. The organisation receiving your application decides which documents and what form of evidence it requires; a certified translation does not by itself guarantee acceptance.
