    Frequently asked questions

Who issues a birth certificate in India (Tamil Nadu) and Sri Lanka

In Tamil Nadu a birth certificate is issued by the Registrar of Births and Deaths in the corporation, municipality or town panchayat ([crstn.org](https://www.crstn.org/birth_death_tn/AboutUs/FAQ.pdf)). In Sri Lanka birth certificates are issued by the Registrar General's Department — a different issuing context with its own forms. Check the country, issuing office, languages and document title printed on your own certificate, and send a complete, legible copy of every relevant page.

Tamil-language documents reach us from different jurisdictions, and they are not one system. In Tamil Nadu, births and deaths are registered by the Registrar of Births and Deaths in the corporation, municipality or town panchayat, and the state's civil registration service publishes its own guidance on how copies are issued ([crstn.org](https://www.crstn.org/birth_death_tn/AboutUs/FAQ.pdf)). In Sri Lanka the equivalent records are issued by the Registrar General's Department, a separate issuing context with its own forms. Education records come from the institution or board that issued them — Anna University is one example among many, not a general rule. Work from the issuing office and document title printed on your own copy.

What your certified English translation reproduces

Every certified translation we issue is a complete rendering of the source document — not a summary. For a Tamil birth certificate that means:

    • Registered given names and surname exactly as recorded, plus any name recorded at birth that later changed
    • Date, time where shown, and place of birth including the registry district
    • Both parents' full names, dates of birth and, where printed, their occupations and citizenship
    • Register entry number, volume/page reference and the date the entry was made
    • Marginal annotations — legitimation, adoption, name change, acknowledgement of paternity
    • Issuing office name, issue date, validity note and the signatory's title

    Tamil names, dates and script

Tamil names are sometimes recorded with an initial before the given name — R. Karthikeyan, S. Meenakshi — and Australian forms may read that initial as a first name or as a middle initial. Romanisation of Tamil script is not standardised, so more than one English spelling of the same name can be legitimate. Look at your own document to see which languages and spellings it actually carries; some are bilingual and some are not. We reproduce what is printed. Where a name or date differs from your passport or other records, flag it with your order and check the receiving organisation's supporting-evidence requirements.

    Seals, stamps and legalisation

We reproduce the seals, signatures, endorsements and any verification details actually present on the copy you send, whether it was issued in India or in Sri Lanka. Obtaining the record, having it authenticated for overseas use and having it translated are separate steps with separate authorities, so follow the instructions of the organisation receiving your documents. Older Tamil records are handwritten in cursive Tamil script, and illegible fields are marked rather than guessed.

How Australian agencies read this document

A birth certificate records identity and parentage details from the issuing civil register. The receiving organisation decides which version it needs, whether a translation is required and what supporting evidence must accompany it.

Birth certificates may be supplied for citizenship, family, identity or life-event processes. Check the receiving organisation's current document and translation instructions before ordering.

    What we check before certifying

Most delays are caused by the source document, not the translation. These are the issues we look for on Tamil birth certificates and raise with you before the file is certified:

    • An initial standing for the father's name being entered as a given name on the Australian form, producing a name-discrepancy request
    • Assuming a certificate needs no translation without checking which languages it actually carries and what the recipient asks for
    • Certificates sent with pages, seals or verification details cropped out, so the record cannot be read in full
    • Anna University consolidated marksheets missing the reverse-side grading key, which assessors need to convert the CGPA
    • Sri Lankan documents ordered as Indian Tamil, when the issuing authority, legalisation path and verification differ completely
    • An abbreviated or wallet-sized extract that omits details the receiving organisation has requested
    • A marginal annotation on the reverse of the certificate that was not scanned, so the translation appears to contradict a later name
    • Parent names recorded differently across records without the supporting evidence requested by the receiving organisation

    Pages, pricing and turnaround

A single-sided birth certificate is one page at $59, priced the moment you upload rather than after a quote. Select every page and side that carries relevant content, including the reverse where something is printed there: each selected page is charged at $59 and the total is shown before you pay.

    Where your certificate was issued

India (Tamil Nadu). Tamil birth certificates issued in India come from the local registrar of births and deaths. See our India birth certificate and Aadhaar translation page for the Indian document context.

Sri Lanka. The Registrar General's Department issues certified copies of birth certificates and, separately, translated copies, with departmental translation directions that include Tamil–English (source: rgd.gov.lk, read 10 September 2026). If you already have a departmental English translation, check whether the receiving organisation accepts it before ordering another translation.
